Meetings: types and holding algorithm

Project meetings are an important element of project management that help teams to work effectively and achieve their common goals. It is recommended to hold meetings according to the planned schedule, this will help the project team to get ready.
Kick-off (installation) meeting

Before the meeting
  • Define the goal: getting acquainted with the team, discussing the project plan, etc.
  • Prepare materials: presentations, documents and project plans.

During the meeting
  • Set the rules: The order of speaking is important for effective communication and discussion.
  • Discuss the goals and plan of the project, define roles: all participants must understand what should be done and what tasks need to be completed.
  • Plan next steps to ensure that the team is aware about activities planned.
Purpose: An important stage at the beginning of the project implementation, helps the team to discuss goals and objectives and establish working relationships. The customer/sponsor and other involved parties may also present.
Milestone meetings

Before the meeting
  • Prepare the necessary materials: progress reports and documents, ask all participants to prepare interim reports

  • Start the meeting with assessing actions of each participant and relate it to the project goals.
  • Identify and assess risks and develop an action plan.
  • Conclude the meeting by thanking all participants for their contributions and confirm agreements.

Purpose: Helps the team to evaluate the project's progress and achievements, identify additional risks, and determine next steps.
Completion (final) meeting

Before the meeting
  • Summarize: Prepare documents and ask participants to make brief progress reports.
  • Invite the customer/sponsor and other involved parties to the meeting: when the project implementation will finish, you can quickly receive their feedback and assessment.

During the meeting
  • Make a report and listen presentations of the project participants, and also ask for their feedback.
  • Complete the goal map: together with the team, enter the final achieved figures to evaluate indicators and efficiency..
